Privacy Policy

Effective 18 October 2026

How we collect, use, share and protect your personal and health information, and the rights you have over it.

1. Who we are

This policy explains how Mythili’s Fetal Medicine Centre (“the centre”, “we”, “us”) collects, uses, shares and protects your personal information. The centre is operated by Dr. Mythili Thulasi Ammal from 7/19-U, Poonga Nagar, Thirupathisaram, Nagercoil – 629 901, Kanyakumari District, Tamil Nadu. Under the Digital Personal Data Protection Act, 2023, we are the “Data Fiduciary” for the personal data described here.

It covers this website, appointment requests made by phone, WhatsApp or the website form, and the information we hold when you visit the centre for scans, tests, counselling or procedures.

2. Information we collect

When you visit this website

This website does not set cookies of its own or use analytics, advertising or tracking tools, and it does not ask you to create an account. As with any website, our hosting provider automatically processes basic technical information (your IP address, browser and device type, the page requested and the time) to deliver the site and protect it from attacks. The map in the “Visit us” section is provided by Google; see our Cookie Policy.

When you request an appointment

The appointment form asks for your name, phone number, the scan or service you need, how many weeks pregnant you are, your preferred date and time, and an optional note. The form does not store anything on this website. When you press “Send request on WhatsApp”, it opens WhatsApp with your details typed into a message to us; nothing reaches us until you press Send in WhatsApp. If you call or message us directly, we receive whatever you tell us.

When you visit the centre

  • Identity and contact details, age, and the name of your referring doctor.
  • Health information: pregnancy and medical history, dates of your last menstrual period, previous reports, medicines and allergies.
  • Ultrasound images, scan reports, blood and genetic test results, counselling notes and consent forms.
  • Information we are required by law to record, including Form F under the PCPNDT Act for every ultrasound in pregnancy (see PCPNDT & Registration).
  • Billing and payment records.

Health information is sensitive personal data or information under the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. We collect only what is needed for your care or required by law, and we protect it accordingly.

3. How we use it, and why

  • To arrange your appointment: replying to your request, confirming or rescheduling it. Basis: the information you chose to give us for this purpose, and your consent.
  • To provide your care: performing scans, tests, counselling and procedures, preparing reports and explaining results to you. Basis: your consent, which you give when you book and when you sign consent forms at the centre.
  • To keep your care connected: sending reports to your referring doctor or obstetrician, when you ask us to or agree to it. Basis: your consent.
  • To meet legal duties: completing Form F, sending the monthly reports required under the PCPNDT Act and Rules to the Appropriate Authority, keeping medical records for the periods the law sets, and responding to lawful requests from courts or authorities. Basis: compliance with law.
  • In a medical emergency: sharing what is necessary with a hospital or emergency service to protect your life or your baby’s health. Basis: medical emergency, as permitted by law.
  • Billing: issuing bills and receipts and keeping accounts. Basis: compliance with tax and accounting law.

We do not use your information for advertising or marketing, we do not sell or rent it, and we do not use it to build profiles of you.

4. Who we share it with

Only the people and organisations below, and only what each needs:

  • Your referring doctor or obstetrician, with your agreement.
  • Laboratories that process blood or genetic tests we collect samples for (for example, double marker, quadruple marker or NIPT).
  • Government authorities where the law requires it, including the PCPNDT Appropriate Authority (Form F and monthly reports), and courts, police or regulators acting under a lawful order.
  • Service providers who help us run the centre and this website, such as our website host, Cloudflare, Inc., and IT, telephone or record-keeping providers. They may use your information only to provide their service to us.
  • WhatsApp, which carries the messages you send us there, under its own terms (see section 5).
  • Hospitals or emergency services, if you need urgent care.

5. WhatsApp and other services

If you contact us on WhatsApp, the message is carried by WhatsApp (part of Meta), and WhatsApp’s own terms and privacy policy apply to how it handles your message. Please do not send scan images, reports or other medical documents on WhatsApp unless we ask you to; you can bring them to your appointment instead.

6. Where your information is kept

Your medical records are kept at the centre in India. Some service providers, such as WhatsApp or our website host, may process data on servers outside India. Any such transfer happens only as permitted under Indian law.

7. How long we keep it

  • Medical and statutory records (reports, images, consent forms, Form F): at least as long as the law requires. Records required under the PCPNDT Act and Rules, such as Form F and consent forms, must be kept for at least two years, or until any related legal proceedings are concluded. We usually keep medical records longer than that so that your future care, and care in a later pregnancy, can refer back to them.
  • Appointment messages and call details that do not become part of a medical record: deleted within 12 months.
  • Billing records: as long as tax and accounting laws require.

When we no longer need information and no law requires us to keep it, we delete or securely destroy it.

8. How we protect it

  • Only staff who need your information for your care can see it, and they are bound by confidentiality.
  • Paper records are stored securely at the centre; computers, phones and ultrasound equipment that hold patient information are protected with passwords or locks.
  • We share the minimum information needed, and only with the people listed above.

No system is completely secure. If a breach affects your personal data, we will inform you and the authorities as required by law, and tell you what we are doing about it.

9. Your rights

You can ask us to:

  • Tell you what personal data we hold about you, how we use it and who we have shared it with.
  • Give you copies of your medical records. We acknowledge every request and provide copies within 72 hours, as required by the Indian Medical Council (Professional Conduct, Etiquette and Ethics) Regulations, 2002.
  • Correct, complete or update information that is wrong or out of date.
  • Delete information we no longer need. Records we are legally required to keep, such as medical and PCPNDT records, cannot be deleted before the legal period ends.
  • Withdraw your consent at any time. This does not affect anything done before you withdraw, and we may then be unable to provide some services.
  • Nominate someone to exercise these rights for you if you die or become unable to act.

To make a request, contact the Privacy & Grievance Officer below. We may ask you to confirm your identity first. We will respond within 30 days.

10. Patients under 18

Our services are for pregnant women and women planning a pregnancy. If a patient is under 18, we involve a parent or lawful guardian as the law requires, and use her information only to provide her care and protect her health.

For any question, request or complaint about your personal data, contact:

This policy is published under the Information Technology Act, 2000 and the rules made under it, and the Digital Personal Data Protection Act, 2023 and Rules, 2025, as those provisions come into force.
